- Counselors: Professional background, experience, credentials, education, areas of expertise, profile photo, hourly rates or package pricing
- Parents: Relationship to student

- Supplemental application materials
- Communications with Counselors (messages, notes)
- Files uploaded to the Platform
Payment Information:
- We do NOT store credit card numbers
- Stripe (our payment processor) collects and stores: billing address, payment method details
- We store only: Stripe customer IDs, payment method IDs (tokens), transaction history, subscription status

Zoom Meeting Data:

- We do NOT record meetings unless explicitly initiated by users
- Meeting recordings (if created by users) are stored temporarily per user settings
Identity Verification:
- If you sign up using Google or other social login (future feature), we receive: name, email, profile photo
Payment Processing:
- Stripe provides us with payment status and transaction confirmations
- We do NOT receive full credit card numbers
Referrals:
- If another user refers you, we may receive your email address
For users aged 15-17, we collect the same information as adult users, but:
- We require verified parental consent before account activation
- Parents can access, review, and request deletion of their child’s information
- We do not use minor data for marketing or advertising purposes
- We apply enhanced privacy protections
We do NOT knowingly collect information from children under 15. If we discover we have collected information from a child under 15, we will delete it immediately.

Unlike cookies, local storage data does not expire automatically and is not sent to our servers with every request.

- Understand which features are most valuable
- Optimize user experience and interface design

4.1 With Other Users (As You Direct)
Students and Counselors:
- When a Student engages a Counselor, the Counselor can see the Student’s profile, uploaded materials, and communications
- Students can see Counselor profiles, ratings, and reviews
- This sharing is necessary to provide the counseling services
Parents:
- Parents of minor students can access their child’s account information
- Parents can view communications between their child and Counselors
Schools:
- School administrators can view information of students and counselors using their institutional account
- Schools remain responsible for compliance with FERPA and other educational privacy laws
4.2 With Service Providers
We share information with third-party service providers who help us operate the Platform:
Amazon Web Services (AWS) - Hosting and Infrastructure
- Data stored: All platform data, backups
- Location: Singapore
- Purpose: Cloud hosting, data storage, computing resources
- DPA: Yes (available in AWS Artifact)
Stripe - Payment Processing
- Data shared: Name, email, billing address, payment method (tokenized)
- Purpose: Process subscription and service fee payments
- Data protection: Stripe is PCI DSS Level 1 certified
- DPA: Yes (available from Stripe)
Zoom Video Communications - Video Conferencing
- Data shared: Name, email, meeting scheduling information
- Purpose: Enable video meetings between Counselors and Students
- DPA: Yes (available from Zoom)
Google Analytics - Analytics (with your consent)
- Data shared: Usage data, device information, pages viewed (no personally identifiable information)
- Purpose: Understand platform usage and improve user experience
- Data control: You can opt out via cookie settings
Email Service Provider (e.g., SendGrid, AWS SES)

5. DATA RETENTION
5.1 Active Accounts
We retain your information for as long as your account is active and as necessary to provide services.
5.2 Account Closure
Standard Deletion Timeline:
- When you close your account, we retain your data for 15 days to allow account recovery
- After 15 days, your data is permanently deleted from active systems
- Backups may retain data for up to an additional 30 days before being overwritten
Inactive Student Accounts:
- If a Student graduates and does not close their account, we retain data for 1 year of inactivity
- After 1 year, we send notifications prompting account closure or reactivation
- If no response, data is archived and eventually deleted
Parental Deletion Requests:
- Parents can request immediate deletion of their minor child’s data at any time
- We will delete within 30 days of verified request
5.3 Legal and Business Retention
We may retain certain information longer when required by law or legitimate business purposes:
- Transaction records: 7 years (tax and financial compliance)
- Audit logs: 3 years (security and fraud prevention)
- Legal holds: Indefinitely if subject to litigation or investigation

When a Counselor closes their account:
- Their profile and personal information are deleted per standard timeline
- Reviews and ratings may be retained in anonymized form (e.g., “Former Counselor”)
- Historical transaction records are retained for financial compliance
6. YOUR PRIVACY RIGHTS
Your rights vary depending on your location. We honor the strongest rights applicable to all users globally.
6.1 Rights Available to All Users
Access: You can access your personal information anytime through your account settings.
Correction: You can update or correct your information in account settings. For information you cannot change yourself, contact dpo@getcollegecounsel.com.
Deletion: You can request deletion of your account and data through account settings or by emailing dpo@getcollegecounsel.com. We will process deletion within 15-30 days.
Data Portability: You can export your data in machine-readable format (JSON) through Account Settings > Privacy > Download My Data.
Opt-Out of Marketing: You can unsubscribe from marketing emails via the link in any marketing email or through account settings.
Cookie Control: You can manage cookie preferences through our cookie banner or account settings.

7. INTERNATIONAL DATA TRANSFERS
7.1 Where We Store Data
Our primary servers are located in Singapore (AWS Asia Pacific region).
This means if you are located outside Singapore, your information will be transferred to and processed in Singapore.
7.2 EU Data Transfers
For users in the European Economic Area, UK, or Switzerland:
Transfer Mechanism: We use Standard Contractual Clauses (SCCs) approved by the European Commission to protect your data when transferred from the EU to Singapore.
Safeguards:
- AWS has implemented SCCs and additional security measures
- We have executed SCCs with our subprocessors (Stripe, Zoom)
- Data is encrypted in transit and at rest
- We conduct regular security audits

10.1 FERPA Overview

For Schools Using the Platform:
- We act as a “school official” with “legitimate educational interest” to the extent necessary to provide Platform services
- Schools remain responsible for FERPA compliance
- Schools must obtain necessary parental consents before uploading student records
For Independent Counselors:
- FERPA generally does not apply to independent counselors (they are not “educational agencies”)
- However, if working with school-provided information, counselors should respect FERPA principles
10.3 How We Protect Educational Records
We protect educational records by:
- Limiting access to authorized school personnel only
- Implementing role-based access controls
- Maintaining audit logs of who accessed what information
- Using encryption for storage and transmission
- Not using educational records for marketing purposes

- Essays and materials created BY the student (not from school records) are owned by the student, not subject to FERPA
- Students retain ownership and control of their application materials
11. COOKIES AND ONLINE ADVERTISING
11.1 Our Advertising Practices
We do NOT:
- Use cookies for targeted advertising
- Sell data to advertisers
- Display third-party advertisements on the Platform
- Track users across other websites for advertising purposes
We DO use Google Analytics (with your consent) to:
- Understand how users interact with the Platform
- Improve user experience
- Identify popular features
Google Analytics does NOT collect personally identifiable information.
11.2 Third-Party Links
The Platform may contain links to third-party websites (college websites, scholarship databases, etc.).
